If the Multilingual Birth Certificate Extract needs to be legalized, because, for example, it is not intended for use in a signatory Country to the Vienna Convention of September 8, 1976, or apostilled, a step at the Prefecture is necessary, and we can do it for you, along with any translation. The Multilingual Birth Certificate Extract (Estratto di Nascita Plurilingue) is a document introduced by the Vienna Convention of September 8, 1976. It has exactly the same characteristics as an Estratto di Nascita. This means it includes the essential information about a person’s birth (name, last name, date, and place of birth) and any annotations required by law (for example, adoption decrees, interdiction judgments, marriage, separation, and divorce records, recognition of legitimate or natural children) that have been registered on their Birth Record. Although this type of certificate includes all annotations registered on the Birth Record, it is not a full copy because not all the information on the original Birth Record represents an annotation.
However, compared to a standard Birth Certificate Extract, it offers advantages: it is drawn up using a multilingual model, and when intended for a signatory Country to the Vienna Convention of September 8, 1976, it is exempt from both legalization and the apostille and translation. Annotations are an exception; they are always in a language in which the issuing Country issues its documents (for example, if the Extract is issued in Italy, the annotations would be in Italian. Extracts issued in Valle d’Aosta might also be in French, while those issued in Trentino-Alto Adige might also be in German). This means that annotations must be translated if they are not already in a language recognized by the destination Country.
The signatory Countries to the Vienna Convention of September 8, 1976, are: Austria, Belgium, Bosnia and Herzegovina (or Bosnia-Herzegovina), Bulgaria, Cabo Verde, Croatia, Estonia, France, Germany, Italy, Lithuania, Luxembourg, Moldova, Montenegro, the Netherlands, North Macedonia, Poland, Portugal, Romania, Serbia, Slovenia, Spain, Switzerland, and Turkey.
Sometimes, the Multilingual Birth Certificate Extract is also accepted by Countries that are not signatories to the Convention. However, its acceptance by the authorities of such Countries must be verified in advance. Furthermore, in these cases, even if accepted, the Multilingual Birth Certificate Extract might still need to be legalized (unless there’s an exemption) and translated (some non-signatory Countries only require the translation of annotations, if present, while others require the translation of the whole document).

Some request methods allow you to obtain a digital copy of the Multilingual Birth Certificate Extract. If you need to send it to a Foreign Country that is not a signatory to the Vienna Convention, this may not be sufficient, as it might be necessary to legalize or apostille the document. An Italian public document can only be legalized or apostilled if it is a paper document signed with the handwritten signature of a public official whose signature is registered with a competent authority. Submitting the request might require completing a specific form. Normally, the form is provided at the desk as part of the request submission process.
Requesting the Multilingual Birth Certificate Extract at the desk can also be done by a delegate. The Municipality of Milan might also issue Multilingual Birth Certificates Extracts via mail and/or courier.
To verify this, it is necessary to first contact the Municipality of Milan via phone, email, or PEC to ascertain whether the document can indeed be sent via ordinary mail or courier and by what means. Additionally, in this case, it will be necessary to specifically verify with the Municipality of Milan how to proceed with a request submitted by a delegate.
Multilingual Civil Status Certificates Extracts (Birth, Marriage, and Death) issued on plain paper are generally free of charge. Only for requests made by mail or courier will you need to cover the shipping cost. The Municipality of Milan might charge fees for processing requests.
For Multilingual Civil Status Certificates Extracts associated with historical records, meaning those older than 100 years, the Municipality of Milan might request a contribution of up to €300. The requirement for this contribution for these types of Civil Status Certificates must be specifically verified with the Municipality.
Multilingual Birth Certificates Extracts requested in person at the Municipal Registry Office are issued immediately, unless the official specifies otherwise when the request is submitted.
